Standard Operating Procedures (SOPs) for Every Law Firm
There are some key procedures you'll want to put in place to keep things running smoothly. Establishing standard operating procedures (or SOPs) helps ensure consistency, efficiency, and compliance.
Having clear guidelines and expectations makes team collaboration a breeze. SOPs can cover everything from how to onboard new clients to billing and collections to file management and more. Here are a few specifics to consider:
1. Onboarding Clients
As the old saying goes, “you only get one chance to make a first impression.” Many law firms require clients to call, email, or submit an online form with turnaround time anywhere between 1 day to 1 week later.
Instead, build an SOP that utilizes intake software which can automate scheduling, sending intake documents, and filing with the CRM displays a smooth client experience.
Clients are more likely to utilize legal services when law firms are easy to work with rather than putting more effort on the client’s end.
2. Onboarding Staff
The legal field is having a difficult time finding the time to train new staff due to high caseloads and turnover in a law firm environment. Create comprehensive SOPs during the training period which includes:
Access and training on all software systems: email, messaging, case management systems, court filings, court records, etc.
Flow of office operations: laying out who oversees what, where to find office supplies (if in person), where information is stored electronically (if working hybrid/remote), paperless policy, etc.
Staff communication expectations: one-on-one meetings, staff meetings, usage of email, usage of direct messaging, etc.
Role specific: developing “how-to’s” or workflows on common tasks for the role; this can be hands on, watching a training video, or reading a written process/procedure
The more investment a firm puts into training a staff member, the more efficient the firm will run. This will create less turnover, a reduction in errors, and less of the workload piling onto senior staff, managers, or attorneys.
3. Documentation
Every legal professional knows the importance of having everything in writing. However, the structure and format of documentation is unique to each firm.
Establishing an SOP on documentation will ensure consistency and lessen inefficiency of searching for information:
Description: Does this include emails or texts that are already considered to be documented? Should staff include the type and amount of time spent on a case? How specific should the documentation notes be?
Structure: Should all documentation include a specific naming convention? Common abbreviations? Should the information be displayed in a certain way?
Frequency: Should staff be documenting casework in real time? Dedicate time once or twice a week to input case activity?
4. Invoicing & Billing
Legal software systems are greatly utilized when it comes to invoicing, payments, and tracking billing information. Having a system that can automate invoices, update case activity, and track billing information reduces the need for staff to complete administrative tasks.
Staff can dedicate their time to more substantive tasks for the firm and reduce workload stress. Streamlining these SOPs creates consistent expectations for staff and clients on when to expect invoices and when bills are expected to be paid to the firm.
5. Conflict Checks
SOPs involving conflict checks should be required in every law firm. Obtaining as much information as possible during the intake stage will ensure more accuracy in pinpointing any potential conflicts.
Case information should be complete after intake and include:
Client name
Co-parties
Case number
Plaintiff(s)/Defendant(s)
Opposing counsel
Witnesses
